1. Payment Terms

Booking Guarantee:

Secure your booking by paying 50% of the total booking value within 24 hours of the booking. The remaining 50% must be paid within 7 days of the booking.

Accepted Payment Methods:

Bank transfer, cash, or cheque.

2. Cancellation & Refund Policy

We understand plans can change. Please note the following refund schedule for cancellations made after your booking is confirmed:

Refund Schedule:

  • 7-10 days after booking: 90% refund
  • 11-15 days after booking: 70% refund
  • 16-21 days after booking: 50% refund
  • 22-36 days after booking: 30% refund
  • 37-54 days after booking: 20% refund
  • 54+ days after booking: 10% refund
  • No Show: 0% refund

Amendments:

Any changes to your tour are treated as cancellations. Minor adjustments may be made on a case-by-case basis.

Refund Processing:

Approved refunds are issued via the original payment source (typically through an account payee cheque) within 45 working days.

Modification Rights:

Triya Zikhara reserves the right to modify these terms. We encourage you to review them carefully before confirming your booking.

3. Hotel Guidelines

Identification:

All hotel guests must present valid photo ID.

Rate Variations:

Package rates may change during peak seasons and blackout dates.

Exclusions:

TZ is not liable for:

  • City tax/resort fees (to be settled directly with the hotel)
  • Bed type and room preference (subject to availability at check-in)
  • Early check-in/late checkout (subject to hotel discretion)

Standard Timings:

Check-in: 14:00 | Check-out: 12:00

Additional Arrangements:

Extra beds or roll-away mattresses may be available at an additional cost, subject to availability.
Note: Itineraries may be rearranged based on hotel availability at the time of booking; TZ will update the schedule accordingly.

4. Sightseeing

Health & Special Requirements:

Please inform us of any special needs or health conditions (e.g., arthritis, heart issues) so we can make appropriate arrangements.

Scheduling:

Sightseeing activities are booked by TZ on operational days. However, unforeseen events—such as heavy rainfall or sudden closures—may lead to cancellations. TZ is not liable for operator-initiated cancellations, and refunds for these activities are not provided. We will, however, endeavor to reschedule the activity with minimal additional cost (to be borne by the client).

Timings:

Opening hours at attractions may change; please verify timings before the booking, one day before the visit and on the day of your visit.

Responsibility:

TZ is not responsible for missed activities due to client delays or unexpected events like roadblocks or landslides.

5. Transport & Driver

Itinerary Planning:

Our travel schedules account for security and driver working hours. Overtime is charged on an hourly basis.

Transfer Services:

Transfers strictly follow the program. Additional services will incur additional charges.

Night Fees:

Early morning or late-night transfers include a default additional fee.

Travel Considerations:

We advise allowing a buffer of at least 2 hours for long-duration transfers, considering road conditions.

Driver Notes:

Our drivers, who may come from diverse local backgrounds, ensure professional service. We appreciate your patience if they are not formally tourism-trained or donʼt speak English or Hindi as fluently as youʼd expect them to.

Parking:

Limited parking may sometimes require a brief wait in the hotel lobby.

Driver Replacement:

In the event of driver illness, a replacement will be arranged based on availability and distance, for which TZ assumes cost & responsibility.

6. Vehicle Information

Provision:

Vehicles are provided in accordance with your itinerary.

Breakdowns:

Should a breakdown occur, a replacement vehicle will be provided based on availability. TZ assumes cost & responsibility.

Replacement Logistics:

Replacement times depend on passenger location and road conditions.

Safety Measures:

In hilly regions, the air conditioner may be deactivated for safety. We appreciate your understanding.

Luggage:

Certain regions in India may prohibit luggage carriers; your cooperation is appreciated.

7. Travel Insurance

Recommendation:

We highly recommend purchasing comprehensive travel insurance to safeguard against unforeseen cancellations, medical emergencies, and other trip disruptions.

Coverage:

Costs depend on factors such as age, travel duration, and destination. Please contact TZ for further details.

8. Client Responsibilities

Web Check-In:

For groups of 4 or more, please designate a single point of contact to ensure clear communication.

Document Submission:

Provide all required documents (PAN cards, flight ticket copies, vaccination certificates, passport copies) to TZ along with your advance payment.

Additional Costs:

Clients are responsible for any extra costs arising from natural calamities, political disturbances, tax or fuel price increases, or additional sightseeing not included in the original package.

Health & Safety:

Please prioritize your well-being by following the directives of relevant authorities.

9. General Guidelines

Office Hours:

10:30 a.m. to 6:00 p.m IST. Emergency assistance for accommodation and transport is available during these hours.

Tax Collection (TCS):

A TCS of 20% is applicable from July 1, 2023, and is claimable.

Quotation Validity:

Prices are valid for the proposed dates and group size.

Final Vouchers:

Issued after full payment is received.

Itinerary Adjustments:

Schedules may change due to weather conditions, political disturbances, or other unforeseen factors.

10. Privacy & Data Usage

At TZ, your privacy is as important to us as the journey itself.

Data Collection:

When you provide your personal data (name, email, phone number, website, comment) on our website—such as in our Blog or “Connect with Usˮ section—you can opt to allow TZ to collect, store, and use your information for promotional, marketing, and sales activities.

Consent:

A tick box on our forms lets you indicate your consent. By opting in, you agree to receive communications related to our travel services and exclusive offers.

Withdrawal:

You may withdraw your consent at any time by contacting us, and we will promptly cease using your personal data for these purposes.
